5.1 Registration and Management of Requests
Registration on Freight Car Europe is completely free for all users. To ensure efficient service, the staff requires that the user provide complete and accurate contact information (email address and phone number). Incomplete or incorrect information will prevent the staff from processing the request.
Completely completing all required fields on the registration form is required to process your request. Transportation requests must be for services to be performed within 30 days of the request date, which is necessary to allow carriers to provide accurate quotes and properly schedule the service.
5.2 Acceptance of the conditionsBy accepting the quote, the user also accepts the general conditions indicated in this paragraph.
5.3 Commissions and Awarding
If the job is awarded, the user will pay a commission calculated based on the price set by the carrier. The job is considered awarded when the user formally accepts the quote proposed by the carrier via the platform.
5.4 Commission Changes
Commission amounts may be changed with at least 10 days’ notice, communicated via email to the address provided by the user and by publication in the dedicated section of the site. During any promotional periods, commissions may be reduced or suspended, with notice of the relevant conditions.
5.5 Post-Award Changes
The commission paid will not be refunded if the user, after accepting the quote, requests substantial changes such as: changes to the agreed-upon date, changes to the route, changes to the type of goods to be transported, or if, for other reasons attributable to the user’s behavior, the carrier is unable to perform the transport within the agreed-upon timeframe. This provision is justified by the need to protect the carrier’s operational organization and the commitments already undertaken.

5.6 Payment Terms
The commission must be paid within 24 hours of accepting the quote, or by the following day, which is necessary to allow for final confirmation of the service and logistical organization of the transport.
5.7 Consequences of Late Payment
Payment of the commission after the deadline indicated in Section 5.5 will automatically cancel the reservation. In this case, any late payment will not be refunded, except for the user’s right to request a new reservation based on current availability.
5.8 For new users
Advance payment is required. If the service needs to be cancelled, the following conditions will apply, proportionate to the costs actually incurred and the services already provided:
– Cancellation during the transportation organization phase: 5% of the amount paid will be retained as a reimbursement for administrative costs already incurred;
– Cancellation within 48 hours of pick-up: 15% of the amount paid will be retained to cover organizational costs and any penalties to carriers already contacted.
– Cancellation within 24 hours of collection: 50% of the amount paid will be retained, considering the advanced state of organization of the service.
– Cancellation on the day of collection: 60% of the amount paid will be retained, without prejudice to the possibility of rescheduling the service without further charges.
5.9 In case of payment of partial shares
If a partial payment is required as a deposit, the following conditions will apply:
Cancellation during the organization: 30% of the amount paid will be retained.
Cancellation within 48 hours: 50% of the amount paid will be retained.
Cancellation within 24 hours: 100% of the amount paid will be retained.
Cancellation on the day of collection: 100% of the amount paid will be retained.
Final Confirmation and Documentation
Final booking confirmation will be valid only after submitting the accounting documentation for the commission payment and completing the required tax forms.
IMPORTANT: Any delays, errors, or incompleteness in submitting tax information may result in delays in confirming the service. The company undertakes to promptly communicate any problems and to provide assistance in completing the documentation correctly.
5.10 In case of loading and unloading at affiliated warehouses
If the transport of the vehicle starts and ends at a partner depot, the deposit paid in case of cancellation will not be refunded and will be used as compensation for the reservation of the place at the same (depots) and for the payment of organisation costs.
5.11 Operating Modes of the Service
Pickup and drop-off points are located near highway junctions to optimize transportation routes. The carrier will notify the user of the expected pickup time 2-3 hours in advance. In the event of inconsistency in the description of the vehicle by the customer (cars of greater size and weight) or in the mechanical condition indicated (running/not running, free or non-free wheels) the carrier will be authorized either to request a change in the rate, or if the customer does not accept, the carrier may request payment of the penalty for failure to load.

5.12 Limitations of Liability and Protections for the User
Freight Car Europe operates as a digital intermediation platform between users and carriers. Liability for any damage to transported vehicles is governed by transportation regulations and the insurance policies of the designated carrier.
The user is required to promptly report any damage found, following the procedures indicated by the carrier and the relevant insurance company. Freight Car Europe assumes no direct responsibility for damages, but guarantees full cooperation to facilitate the resolution of disputes between the user and the carrier.

6.1 In the event that the winning Carrier, for one reason or another, is forced to modify a booking, after acceptance of the quote but before the service has been offered, Freight Car Europe It allows the two parties to communicate with each other, attempting to reach a friendly agreement and therefore an amicable solution. In this case, the commission will not be refunded to the user. In the event of non-loading, the conditions relating to cancellation of the transport (points 5.8 and 5.9) apply.
6.2 In the event that the user cancels the transport request on the same day as loading, the carrier reserves the right to apply a penalty of 50% of the total cost of transport plus VAT and the commission will not be refunded. If the cancellation occurs the day before, the penalty applied may be 20% of the total cost of transport plus VAT to cover the organizational and operational costs already incurred by the carrier.
